Dictation

The optional iDictate Add-on feature and transcription service is available from your account home screen.

Dictation / Transcription

Select the new note "+" button at the top left of the screen, then select the 'Dictation' note type from the list.

Select Dictation Note Type

Fill in the form items.

Select Note Type and select a title or create a new title. Next select Note Date and set the correct date, if different from the current date time. Next select Audio. This will open the recorder screen.

Recorder

The recorder includes the typical record, play, and fast forward and rewind buttons as a tape recorder. The slider at the top can also be use to position the play/record position. A patient summary screen is also shown that may be useful while dictating. Once you tap record the level indicator will show record levels in realtime.

Recording

While recording the pause button is enabled and will revert back to play / record f and fwd/rwd button options. The current record point is displayed in the center of the screen, while the total audio record length in minutes:seconds is updated periodically on the far right.

Play / Record screen

Tap the record button and recording will start at the slider position. Just like a tape recorder, if you record a few seconds over a current section that section will be overwritten. Any recording past the end of the current recording will extend the recording. You can record up to 1 hour per dictation note, though we recommend you keep your recordings below 15 minutes as the time to upload the audio files over the wireless connection can take several minutes for large files.
When recording complete tap the Back button, audio data will be saved automatically.

Editing a Dictation Note

You may save the dictation as draft and overwrite or extend the recording by tapping the back button from this screen. If you want to upload the dictation to the web application for manual or automated transcription select the Sign/Del button and tap Sign.
Signed dictation notes and linked audio filed will be uploaded to the web application.

Signed and Uploaded Dictation Notes

When a DIctation note is not signed it will be displayed as 'Dictation' (see 1 above) in the Incomplete Documents list until signed. Once signed it will uploaded with the next Sync operation, and be displayed within the Notes Tab of the web application. Once the note is marked as transcribed via the web application, it will appear as the note title selected followed by "(T)" for transcribed, as in #2 above. Once the transcribed version is signed, either on the iPhone or the web application, it will be displayed within the Complete Documents section as #3 above.

Note the "Dictations" listing, tap on the View/Edit link to display the transcription screen.

Transcription Screen

This screen allows the user to playback and manually transcribe the dictation. This screen is also used to review and sign transcriptions that are either manually entered or from our transcription service provider. The dictation is played via the media player bar at the top left of the screen.

Transcription Sign-off

The status menu is used to change the status of the transcription from Pending, to Transcribed or Signed & Locked. Setting the status to Transcribed will allow the note to be shared with the iPhone (next Sync) for further editing and sign off on the iPhone is desired.
